My client, an award-winning property business operating across the UK, is seeking an assistant for their block management team. The successful applicant will be highly organised, discrete and able to prioritise a high-volume workload.

Responsible for assisting the Head of Block Management with the day to day administration of email correspondence, resident engagement prioritisation and diary scheduling. As an ongoing action, monitoring and tracking of the managing agents' daily activities, ensuring the compliance and H&S actions are checked and reported. Additionally, ensuring that legal notices are administrated as required and the relevant parties informed.

To provide support and assistance with the information on the sale of individual Leasehold property and individual blocks as part of the company asset disposal schedule. To ensure the successful delivery of the business objectives and contribute to the success of the division.

Role

General Administration

  • To assist Head of Block Management with email correspondence, diary management

  • Resident, managing agent and other external parties' engagement

  • General administration tasks for Head of Department and Block Team

  • Facilitating and arranging internal and zoom / teams meetings including room bookings

  • Managing and updating, procedures and schedules as required

  • Organising and attending to any written correspondence received

Legal

  • Administration of the Notice of Transfer/ Charge for Managing Agent properties and any other legal documentation as required (training will be provided)

  • Administration of Freeholder Leaseholder Presale Enquiries (LPE1)

  • Assistance with tracking the Asset Disposal Schedule and tasks associated with Freehold sales

Management Agent tasks

  • Monitoring and tracking of managing agent daily activities

  • To facilitate Quarterly Agent Meetings - schedule, ensure relevant paperwork is received prior to the meeting and take and distribute meeting minutes and actions

  • Assist with the management of Managing Agent compliance actions on FSI system. Issue and monitor accordingly

  • To track ongoing major and contentious building works ensuring all parties are updated

  • Track Agent Health and Safety actions and report regularly to the Head of Department

  • Set up monitoring process to report back to Head of Block Management on a regular basis

  • Comply with audit requirements in relation to health & safety

  • Managing and updating, procedures and schedules as required

Requirements

  • Strong organisational skills

  • Ability to work on own initiative as well as being a team player

  • Previous experience of working in a busy administrative role whilst supporting a team

  • Minimum Intermediate standard on Excel, Word and Outlook. Previous database experience is essential with QUBE / FSI - Connect preferred

  • Understanding of Leasehold highly desirable

  • Understanding of the importance of Health & Safety legislation

  • Ability to prioritise and manage own time effectively, work under pressure and achieve tight deadlines

  • Excellent attention to detail

  • Excellent communication skills and strong customer focus with an understanding of the requirements of the company's customers and key stakeholders, and a willingness to meet and exceed expectations
