My client, an international and multi-award-winning property agency, is seeking a Resident Services Coordinator to be based at a flagship BTR scheme in Birmingham.

The Resident Services Coordinator will report to the Property Manager and work alongside the Resident Services Team to deliver exceptional, consistent service to both the current and potential residents. The successful applicant will act as an ambassador for the business, whether face to face, in writing or by telephone to residents, visitors and contractors.

Responsibilities

  • Welcoming visitors to the building
  • Taking inbound phone calls, redirecting or taking messages
  • Taking delivery of parcels and distributing to residents
  • Responding to resident queries promptly by telephone and email
  • Logging the distribution of necessary equipment for the use of resident services
  • Scheduling resident arrivals and departures and associated activities
  • Maintaining logbook of current and past contractors and onsite visitors
  • Key management
  • Assisting the General Manager with resident events, marketing and tenant surveys
  • Newsletter content and publishing in conjunction with the General Manager
  • Updating Local Authorities in writing where appropriate with new resident details to ensure council tax bills are transferred
  • Logging reactive maintenance enquiries and passing them on to the Property Manager
  • Carrying out check ins and check outs
  • Making any requested amendments to check in documents as requested by the tenant
  • Booking pre- and post-tenancy cleans
  • Ensuring that Guest Suite bookings are visible in office calendar, and that suite is cleaned in between bookings
  • Office and kitchen supplies stock management
  • Ensure comprehensive handover at the end of all shifts

Requirements

  • Experience in delivering first class customer service within the property/hospitality environment
  • Knowledge and experience of working in a Front of House role
  • Ability to build a good rapport with residents and all visitors
  • Ability to assist with the organisation and hosting of resident events and initiatives
  • Able to work on own initiative and meet tight deadlines
  • Excellent communication skills
  • Ability to use full range of Microsoft applications inc. Word, Excel, PowerPoint, Outlook
  • Willingness to adopt a flexible approach to working patterns
  • If candidates do not possess a valid SIA and CCTV licence, then there will be a requirement to undertake the training and obtain the appropriate licences to be able to fulfill the duties of the role

Working hours would be 7:00 to 15:30 and 10:30 to 19:00 on alternate weeks, with 1 in 6 weekends worked (days off in lieu).
