About the Role
Working for a leading Commercial Property consultancy the Property Administrator will provide comprehensive administrative and operational support to the Property and Facilities Management team, ensuring the efficient day-to-day management of a portfolio of properties. This role plays a key part in lease administration, financial processing, insurance coordination, document control, client reporting, and the coordination of client meetings, delivering a consistently high standard of service to our client.
Key Responsibilities
Administration & Office Support

Provide full administrative support, including diary management, correspondence, filing, reporting, and document distribution

Maintain accurate and compliant property files, including leases, client reports, and statutory documentation

Update and maintain office procedures within the Property Operations Manual as required
Lease Administration

Support lease administration activities, including lease abstraction and maintenance of property databases

Ensure tenant, lease, and critical date information is accurate and kept up to date
Financial & Arrears Support

Process invoices in line with established accounting procedures, ensuring correct coding and supporting documentation

Raise and submit purchase orders

Produce and monitor aged debt reports and assist with arrears management in line with company and client policies

Process tenant recharges, including utilities, after-hours HVAC, and other recoverable costs
Compliance & Reporting

Ensure tenant and vendor Certificates of Insurance are current and compliant, including self-insured documentation

Assist with annual budget preparation and monthly financial reporting

Prepare and circulate collections and aged debt reports
Tenant Engagement

Assist with the preparation of tenant service charge budgets and reconciliation packs

Support the creation of tenant handbooks, newsletters, events, and communications

Assist with tenant engagement initiatives, including anniversaries, seasonal activities, and training sessions
Experience
-
Minimum of 1 year's experience in property administration, property management, or a related role
- Commerical experience
Work Environment

Office-based professional environment with attendance at client meetings to take minutes

Regular use of standard office equipment
