About the Role
Cobalt is delighted to be supporting a global real estate brand in the search for a Property Administrator to support the day-to-day operations at one of the City of London's newest office developments.
This is an exciting opportunity to join the on-site management team of a world-class building at the heart of the Square Mile. The successful applicant will act as the backbone of the team's administration, providing vital support across service delivery, reporting, and compliance, while being the go-to point of contact for queries, communication, and coordination.
As the Property Administrator, you'll play a crucial role in ensuring that internal processes, records, and reporting tools are up to date and functioning efficiently. You'll also support the General Manager and wider Building Management Team with everything from invoicing and service desk tracking to contractor coordination and hospitality logistics.
Key responsibilities include:

Maintaining internal workflow systems and team documentation

Logging and tracking reactive and planned works in the service desk

Coordinating contractor access and supporting compliance platforms

Managing purchase orders, invoices, and expenditure logs

Supporting service charge reconciliation processes and audit trails

Taking minutes at team and contractor meetings and tracking follow-up actions

Preparing management reports and assisting with electronic presentations

Coordinating stationery, hospitality, and general office resources

Liaising with suppliers, occupiers, and support services as needed

Assisting with sustainability data reporting and contractor engagement
You'll be an experienced Property and/or Facilities Administrator with excellent communication skills, confidence with IT systems, and a proactive mindset. You're the type of person who likes to stay two steps ahead, keep things tidy, and make the team around you more effective through your support.
You'll need prior experience in a fast-paced environment such as real estate, property, facilities, or professional services. Strong IT skills (including Excel, Outlook, and Word) are essential, and you'll need to be comfortable formatting reports, managing data, and juggling competing deadlines.
A good understanding of tenant/landlord environments, or previous exposure to property or FM operations, would be a real bonus.
