About the Role

12-Month Fixed-Term Contract

A leading commercial real estate company is seeking a Team Secretary to join its division on a 12-month fixed-term contract. The business supports clients across a wide range of sectors, helping to enhance the potential of real estate assets acros the UK and EMEA. The business offers services such as brokerage, leasing, property management, valuation, consulting, project management, marketing, and research across core sectors including office, industrial, retail, and hospitality.

About the Role

This position is part of a dynamic and collaborative consultancy team based across several major UK cities. The team works on a wide variety of interesting and high-profile projects and is looking for a confident, well-organised, and commercially minded Team Secretary to provide administrative support.

The successful candidate will be responsible for managing a varied workload, supporting surveyors and consultants, and ensuring smooth day-to-day operations. The role is ideal for a proactive and adaptable individual who thrives in a busy environment and is happy to support the team with a wide range of tasks-no matter how big or small.

Key Responsibilities

Typing and Documentation

  • Typing standard and non-standard documents including building survey reports, certificates, schedules of condition/dilapidations, and client correspondence

  • Drafting and amending documents and checking for accuracy and compliance with house style

  • Using mail merge and database functions to produce correspondence

  • Formatting and proofreading documents to ensure error-free delivery

  • Managing urgent tasks and outsourcing typing when required

Invoicing Support

  • Compiling and submitting invoices for multiple projects under guidance from surveyors and project leads

  • Ensuring accuracy of details such as client names, billing descriptions, and fees

Administrative Support

  • Managing templates and assisting with documentation updates

  • Coordinating travel and diary appointments via Microsoft Outlook

  • Handling incoming calls and messages professionally

  • Distributing documents via email to clients, contractors, and third parties

  • Scanning, printing, downloading and formatting photographs and files for inclusion in reports

  • Maintaining internal databases and ensuring contact records are up to date

  • Assisting other team secretaries and the business support team as needed

Key Requirements

  • Previous experience in a secretarial or administrative role, ideally within property or professional services

  • Strong written and verbal communication skills

  • Highly organised with excellent attention to detail

  • Intermediate to advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)

  • Ability to manage competing deadlines and adapt to changing priorities

  • Familiarity with surveying or construction-related terminology is advantageous
