This successful and highly rated block management company are looking for an administrative assistant with property specific experience, to provide efficient residential portfolio administration as well as office management tasks.

This company provides a positive, friendly working environment and have impressive training and coaching programmes for all staff.

You will be responsible for

  • Accurately maintaining tenant records, updates and adjustments on Qube

  • Responsibility for good all-round customer service and ensuring the smooth running of the company's incoming and outgoing communications, including error checking send-outs.

  • Effectively managing the office ensuring stationary stocked and all areas tidy in accordance with clear desk policy

  • To support the whole team through efficient administration of the processes and responsibilities arising from the portfolio

  • To manage the office stationery, equipment and other similar requirements

  • Provide general support to visitors - answer door intercom & offer relevant hospitality

  • Arrange bookings of meeting rooms/ couriers where required

  • Monitor and respond to the admin inbox - all emails must be responded to within 24hrs working days (saving ALL emails to relevant documents tab)

  • Ensure first respondent call level maintained, reliable support function to wider team and ensure stats are inline with first respondent levels

  • To answer inbound customer calls inline with KPI's

  • Ordering of fobs when requested property management team

Skills/experience

  • Property specific experience is key

  • A desire to learn and gain knowledge of property management principles and procedures. Specifically, regarding Legal Administration.

  • Working knowledge of windows apps- i.e. Excel and Microsoft Word (version 7)

  • Good written and verbal communication skills

  • Great organisation and customer service skills
