Property Management Assistant - Client-Side

A respected and influential Capital Management company are looking for an exceptional Property Manager to join their highly professional team.

This is a unique opportunity for an accomplished residential Property Manager, ideally with client-side experience to fulfill a responsible role overseeing a private portfolio and join an exciting property investment organisation that empowers and rewards their people. Contractor Management experience is key as well as on-site and high-end portfolio experience.

This is not your average property manager role.

The role is initially a Maternity Cover Contract, however due to the size and scope of the company, could well become permanent for the right person.

The Role:

  • Deal with the reactive maintenance of the portfolio ensuring smooth completion of jobs and signing off invoices.

  • Ensure all properties within the portfolio are compliant and manage utility accounts to ensure the portfolio benefits from the most competitive tariffs.

  • Direct, control and coordinate with contractors ensuring the highest standards are achieved balanced with value for money.

  • Respond to occupiers' queries, swiftly resolve issues and provide the highest level of service. Keeping the diary updated as to contractor appointments and liaising with house staff

  • Carry out regular site inspections of the portfolio properties in conjunction with the Property Manager so as to identify any works required.

  • Liaise with the Property Manager to develop and implement new procedures to achieve high levels of efficiency, quality, audit trails, reporting and finance management.

  • Be able to step in and assist the Executive Assistant Team with any necessary tasks as required.

  • At all times ensure that information about the family is kept confidential and that any new contractors sign NDAs. Ensuring that all contractors carry the requisite insurance before permitting them to work on-site.

  • Ensure the highest levels of written and verbal communication with colleagues, advisors, and the family.

You Will Be:

  • Experienced in residential Property Management

  • Experience working within a Private Office or client-side

  • Ethical and diligent and exemplary in maintaining the highest levels of discretion and confidentiality

  • On-site experience and excellent contractor management skills

  • Strong academic background

  • Excellent communication skills, both written and verbal

  • Impeccable administrative skills, time-management, and efficiency

  • Ability to meet deadlines and take responsibility for projects

  • French-speaking would be a benefit but not essential
