Are you a bright self-starter, with experience previously supporting multiple senior individuals within an organisation?

I am pleased to be working with a London-based, leading student accommodation provider. They have a large portfolio of properties across Central London and are continuing their expansion this year. They are currently looking for an experienced Assistant to support their passionate and dynamic team.

Key responsibilities;

  • Provide secretarial and administration support to various teams within the business, and to the Operations Director.
  • Attend meetings, take minutes, and ensure that all actions are documented and followed up on.
  • Manage and co-ordinate multiple diaries and schedules, for both internal and external meetings.
  • Draft correspondence and respond to emails.
  • Support the internal Communications Executive to help provide and drive regular content for the company internet.
  • Create and prepare PowerPoint presentations, as required.
  • Assist the Estates Team with confirming contractor's attendance, and scheduling in maintenance works.
  • Help to process expenses and invoices with the Accounts team.
  • Ensure PO's, invoices, and expenses are submitted and authorised in a timely manner.
  • Liaise with internal and external contacts to ensure the smooth running of meetings; including the set-up of refreshments, catering requirements, and technology.
  • Coordinate and book travel and accommodation, as needed.
  • Arrange couriers for important documents.
  • Support the Office Manager and Team Assistant with general office admin tasks; ordering stationary, maintaining cleanliness of the kitchen and meeting room, distributing post, meeting and greeting visitors, company events, and undertaking fire warden duties.

Your experience;

  • Experience previously in a multi-tasking administration/secretary role is essential
  • Ambitious, personable, and self-motivated personality
  • Strong communicator, both verbally and written, with good use of grammar and spelling
  • Ideally have previous office-based work experience
  • Great organisational skills
  • Self-sufficient in terms of dealing with issues
  • Efficient in using Word, PowerPoint, Office, and Excel
