Tenancy Progressor
Based Newcastle
Monday to Friday 9am to 5pm
My client, a market leader in PRS and BTR, is seeking a Tenancy Progressor to join the team in Newcastle.
The successful applicant will be responsible for administering and processing all new tenancies for the business, and will support Portfolio Managers and on-site lettings teams who are responsible for the void management of their portfolios. You will be commencing and progressing the tenancy file through referencing, contract execution and payment of monies, ensuring that all documentation is compliant and in line with legal requirements.
Responsibilities
Effect all administration in relation to a new tenancy - progressing from offer to execution
Ensure applicants are immediately contacted with an introduction on how the tenancy progression process works and what they should expect
Regularly contact applicants to ensure referencing is completed, all tenancy documentation is signed and move in monies are paid within the agreed timescales
Monitor agent response to offers and performance of their agreed functions in relation to new tenancies
Liaison with external parties for example Lettings Agents regarding application queries and key release instructions, referencing companies to ensure referencing-related queries are followed up and Inventory Clerks to book check-in appointments
Monitor progress and reference tenants, including referral for approval or rejection if required
Ensure all 'Right to Rent' documentation is received, checked and stored
Liaise with Lettings Team on performance of the Agents & Inventory Clerks
Liaise with Portfolio Managers/Property Managers and keep appraised of tenancy progress
Co-ordinate bookings, inventories and check-ins, and retain on file
Maintain regular contact and liaison with credit control regarding the allocation of funds
Update all relevant systems with all new customer details and charges in line with given timeframes
Take part in the monthly auditing of all lets administered by the team
The serving of all relevant documentation to ensure compliance
Requirements
Demonstrable experience of working in an administrative role managing a high-volume workload is essential
Demonstrable experience of delivering exceptional customer service
ARLA 1 qualification is desirable
Team player, self-motivated, works well under pressure, comfortable working towards tight deadlines
Attention to detail and the ability to produce accurate work quickly and efficiently
Previous relevant experience in lettings is desirable
Computer literate including Microsoft packages, Outlook, Excel & Word
Detail-oriented, able to set priorities and complete simultaneous projects
Proven ability to communicate effectively in both written and oral, at all levels both internally and externally
