About the Role
Cobalt Recruitment is partnering with a leading managing agent to appoint a Facilities Manager for one of London's most distinctive mixed-use estates. Set within a dynamic campus environment that brings together education, innovation, business and community uses, the estate offers a unique operating environment with a significant daily footfall and a diverse occupier base across multiple buildings.
This is an opportunity to join the on-site management team at a landmark destination where facilities management plays a highly visible role in the occupier experience. Working closely with senior site leadership, the successful candidate will support the delivery of exceptional operational standards across the estate, ensuring a safe, compliant and well-maintained environment while contributing to the ongoing success of a thriving and continually evolving campus.
Key Responsibilities
- Act as a primary point of contact for occupiers, managing service requests and maintaining high levels of customer service across the estate.
- Conduct regular building inspections, identifying defects and ensuring issues are logged and tracked through the CAFM system.
- Coordinate the setup and maintenance of meeting and shared spaces in conjunction with front-of-house and cleaning service partners.
- Support the wider Facilities Management team and provide operational cover during periods of absence.
- Manage contractor access and permit-to-work processes to ensure safe and compliant delivery of works.
- Monitor and coordinate Planned Preventative Maintenance (PPM) programmes and reactive maintenance activities.
- Oversee contractor performance, ensuring service levels and contractual obligations are achieved.
- Support the management of waste services, vertical transportation maintenance, parking operations and estate-wide service delivery.
- Assist with statutory compliance programmes, audits, inspections and remedial works projects.
- Maintain accurate health and safety records, incident reporting processes and emergency response procedures.
- Undertake occupier compliance audits and ensure documentation remains current and inspection-ready.
- Raise and track purchase orders, support supplier invoicing processes and maintain accurate financial records.
- Update and maintain estate management systems, compliance platforms and operational databases.
- Produce reports and administrative documentation to support effective estate management.
Person Specification
Applicants should possess previous experience within facilities management, property management or a related operational real estate environment. Experience within a multi-tenanted commercial, mixed-use or campus-style setting would be advantageous, alongside strong occupier engagement skills and a solid understanding of contractor management and statutory compliance. Candidates should be comfortable using CAFM and compliance management systems and demonstrate strong organisational and administrative capability. IOSH qualification, or the willingness to obtain this, would be beneficial and the role may suit an Assistant Facilities Manager seeking progression into a broader Facilities Manager position.
