I am working with a large, London-based company that manage their own portfolio of serviced office spaces. They have multiple locations across London and are now seeking an experienced Administrator to support their Facilities Management team.

Key responsibilities;

  • Execute finance administrative tasks using Microsoft Dynamics 365, including PO generation, invoice approval, and reconciliation.

  • Generate finance reports, conduct trend analysis, and escalate issues when necessary, contributing to informed decision-making.

  • Act as the primary contact for internal and external stakeholders, addressing queries related to POs, invoices, and contract rates.

  • Update contract cost and rates tracker and assist in annual Service Charge budgeting.

  • Maintain the elogs system by updating tasks, jobs, and team changes, ensuring accuracy and relevance.

  • Review lift LOLER inspection dates, reconcile with elogs, and coordinate with FMs and engineers to schedule inspections.

  • Update and manage internal stakeholders' planned tasks, ensuring the online planner reflects the team's activities.

  • Prepare a monthly reporting pack for the Senior Management team, detailing team, and service provider performance against KPIs and objectives.

  • Support FM Contract Manager in mobilisation and de-mobilisation of new service providers and properties.

  • Minute-taking and circulation for service provider meetings and assisting with induction and welcome packs for new team members.

Additional Requirements:

  • Ability to work well within a fast-paced environment.

  • Flexibility to undertake additional tasks as requested by managers.

  • Commitment to health and safety protocols and reporting incidents or potential risks.

  • Familiarity with Health and Safety policies.
