Maintenance Manager

Flexible location: Manchester/Leeds

Up to £30,000 plus benefits

My client is responsible for a UK residential portfolio on behalf of a private investment fund. They focus on delivering an exceptional experience to residents living in their quality, yet affordable homes.

The team has been through a sustained period of growth and now require a Maintenance Manager. Reporting to the Operations Director, you will working closely with the Property team to ensure the smooth running of the maintenance help desk.

Key Responsibilities

  • Monitor maintenance help desk traffic, acting as the point of contact for all tenant maintenance queries via phone, email and the resident portal

  • Manage the end to end process of all maintenance queries, from ticket received to job completion and close on system in line with company service level agreements

  • Using the client's maintenance PSL, identify and assign appropriate contractors and external vendors to maintenance jobs, whilst continuously monitoring their performance and quality of service

  • Establish and maintain administration systems to record maintenance operations including contractor use, additional works, performance monitoring and complaints log

  • Manage communication between the client and external maintenance vendors/contractors

  • Schedule and action minor and routine maintenance across the portfolio and on all appropriate company equipment on a regular basis

  • Managing and coordinate the reactive & planned maintenance of the properties

  • Liaise with the Finance department to ensure purchase work orders are raised and invoices are processed efficiently

  • Raise issues to the Head of Facilities and Regional Operations Managers when there is a potential overspend/complex maintenance jobs have arisen

  • Drive customer service excellence through your communication with tenants, keeping the tenants up to date with maintenance progress

  • Provide a monthly maintenance report to the Head of Facilities Management and Property Operations Team, highlighting trends, concerns and risks

  • Keep abreast of developments, regulations, and statutory compliance in respect of property services

  • Support Facilities and Operations colleagues with department projects, such as health and safety management and sustainability initiatives

  • Work with building contractors and M&E contractors to resolve warranty defects

  • Ensure all health and safety and compliance documentation is updated following works

  • Identify new vendors/ contractors to ensuring relevant PI insurance, qualifications, and skill-set

  • Maintain a good portfolio of suitable vendors/ contractors for all regions

  • Monitor the out of hours maintenance reports

The appointed Maintenance Manager will possess experience of managing key processes within a Facilities department, with strong administration experience and ability to use multiple in-house systems in any one time. Knowledge of the property industry and an understanding of a building service environment and recurring tenant maintenance issues is essential as is your desire to deliver strong customer service and a great tenant experience.
