Team Secretary - Real Estate
6-month FTC
West End, London
£33,000 - £36,000 per annum
Are you a bright self-starter, with experience previously supporting multiple individuals within a Real Estate organisation?
I am working with a huge, international commercial real estate firm, who have an exciting new opportunity available for an experienced Secretary. This is a 6-month FTC role within their Central London based office.
Key responsibilities;
- File management; monitoring files on the system, making sure that relevant procedures are carried out to ensure that all job and audit protocols are met
- Undertaking any research requests, as requested by the team
- Typing general correspondence and creating reports; including binding and scanning of documents
- Creating invoices and managing the team's work using progress records and forecasting
- Overseeing the team's workflow from pending jobs to completion
- Monitoring debt as necessary and actioning correctly where appropriate
- Processing expenses for the team
- Diary management for the Partner and the wider team
- Organising meetings on behalf of the team, including booking meeting rooms
- Travel arrangements for the Partner and the team
- Proactive management of the teams' contact databases
- Accurate and detailed message taking for the team, managing any incoming calls
- Distribution of all post amongst the Partner and the team
- Creating and updating spreadsheets and schedules using Excel
- Provide holiday cover for the companies' secretarial team, as required
Your experience;
- Previous experience multi-tasking, changing work priorities accordingly
- Highly efficient in using Word, PowerPoint, Office, and Excel
- Excellent communication and inter-personal skills
- Ability to take ownership of problems to see through to solution
- Ability to manage multiple expectations effectively
- Confidence to 'manage up' to ensure that deadlines are met on time
- Be an organised and efficient team player
