About the Role

 

 

This company is a Residential Property specialist.

 

They are are seeking a highly organised and motivated Administrator to join. This is a varied and fast-paced role supporting the Residential team, where you will play a key part in delivering an exceptional service to clients and buyers.

The successful candidate will be a strong team player with excellent communication skills, both written and verbal, and a professional telephone manner. You will thrive in a busy environment, demonstrate strong attention to detail and be confident managing multiple tasks under pressure.

This is a full-time position (including some Saturdays) supporting the sales team, with daily interaction with clients and prospective buyers. The role will involve matching buyers to suitable properties, arranging and occasionally conducting viewings, and ensuring the smooth administration of sales processes.

Key Responsibilities

  • Registering new buyers and maintaining accurate records

  • Preparing property particulars and marketing brochures

  • Coordinating marketing and advertising both locally and with neighbouring offices

  • Managing KYC and Anti-Money Laundering (AML) processes in line with Group requirements, liaising with internal onboarding and compliance teams as needed

  • Overseeing invoicing processes and supporting debt collection to ensure timely payments

  • Maintaining window displays, brochure stands and internal systems

  • Liaising with prospective buyers, arranging viewings and managing diaries

  • Maintaining and updating client files and the Residential database

  • Building and maintaining trusted client relationships to support smooth onboarding

  • Identifying opportunities to improve administrative processes and increase efficiency

  • Providing general administrative support and undertaking additional ad-hoc duties as required

Person Specification

  • Proven ability to prioritise and coordinate tasks effectively to meet deadlines

  • Experience supporting a team of professional fee earners in a fast-paced environment

  • Strong IT skills, including Microsoft Word, Excel and Outlook

  • Experience using KYC systems and an understanding of AML regulations

  • Experience conducting client due diligence, including independent searches and sanctions checks

  • Excellent communication and customer service skills

  • Strong attention to detail with a high level of accuracy

  • Professional, discreet and confident handling sensitive information

  • Flexible, reliable and punctual

  • Proactive in identifying and implementing process improvements

  • A positive and enthusiastic approach to routine administrative tasks

  • An interest in property and the real estate/estate agency sector
