About the Role

Role Purpose

The Assistant Property Manager will provide operational support for multiple residential assets, including studios, apartments, and townhouses. This role will work closely with the Property Manager and wider operations teams to implement effective property management practices.

The position is site-based, acting as the primary liaison for residents, coordinating third-party services, managing lettings processes, and ensuring properties operate in line with the business plan.

Key Responsibilities

  • Act as the first point of contact for resident queries and complaints, ensuring prompt and efficient resolution.

  • Maintain clear, courteous communication with residents and stakeholders.

  • Work with external letting agents to update property availability and drive the leasing strategy.

  • Process tenancy applications, references, contracts, and deposit registrations.

  • Manage rent collection and arrears procedures.

  • Negotiate tenancy renewals and serve statutory notices where required.

  • Coordinate move-in/move-out procedures, inventories, and cleaning services.

  • Ensure compliance with GDPR and company procedures for document management.

  • Conduct or coordinate annual risk assessments, fire risk assessments, and health & safety reviews.
  • Supervise on-site contractors to ensure compliance with RAMS, permit-to-work requirements, and health & safety regulations.

  • Support achievement of company ESG targets.

  • Address lease breaches and manage resolution processes.

  • Ensure compliance with legal property management obligations, including Right to Rent, deposit protection, and licensing.

  • Approve and process invoices, liaising with accounts payable.

  • Manage utility billing for void units.

Essential Requirements

  • Experience in residential property management or building operations.

  • Proven ability to coordinate contractors and manage FM services.

  • Strong customer service skills with confidence in handling complaints.

  • Excellent attention to detail, organisation, and communication skills.

  • Ability to work independently while contributing to a team.

  • Proficiency with Microsoft Office and other business operating systems.

  • Ability to travel between properties as needed.

Desirable Requirements

  • Experience managing budgets and P&L.

  • Track record of meeting sales or occupancy targets.

  • Technical knowledge of property maintenance, health & safety, and operational efficiency.

  • Relevant industry qualification (e.g., NFOPP, ARLA).
